User Guide: Family Justice Councilor

In the Qase platform you will register approved candidates to participate in the virtual mediation process and schedule ILA and Mediation appointments on their behalf.

View Case Details

A Qase account will be created for you. You will receive an email with a link to confirm your account registration and set a password for your account.

Sign in at www.qase.ca and view your Agent Dashboard:

You can filter the list of cases on the dashboard by selecting a case status:


Virtual Mediation Process

If both parties have agreed to receive their ILA through Virtual Family Mediation you will create four new cases:

For each case an initial appointment will also be scheduled


Schedule an ILA appointment for a new or registered client:

Sign into Qase and click the New Case button:

Step 1:

Select: ILA, Separation & Divorce and enter the client's email address:

For new clients, enter their name, phone number and enter the full name of the other party:

 

Enter a description (include as much information as possible) and click NEXT:

The description of the case is only visible to the volunteer, the client cannot view it

Step 2:

View the availble appointment times and choose a time that works for the client

Select the lawyer and click NEXT

Ask the client to confirm if they will attend the ILA appointment by video call or if they want the lawyer call them directly

Step 3:

Select Next and review the appointment date and time with the client

Then select 'Finish'

Schedule a Mediation appointment for a new or registered client

Sign into Qase and click the New Case button:

Step 1:

Select Family Law Mediator, Separation & Divorce and enter the client's email address:

If they client previously had an ILA case created for them, you do not need to enter additional contact information again. 

Step 2:

View the availble appointment times and choose a time that works for the client.

Select the Mediator and click NEXT

Step 3:

Select Next and review the appointment date and time with the client.

Then select 'Finish'

Next - Schedule an appointment for the other party with the same Mediator 

Following the same steps as above, create a New Case for the Other Party with the same mediator

Step 1:

Select Family Law Mediator, Separation & Divorce and enter the client's email address and the Mediator's email address:

View the case details to find the Mediators contact information

Step 2:

View the availble appointment times and choose a time that works for the client

Select the Mediator and click NEXT

Step 3:

Select Next and review the appointment date and time with the client.

Then select 'Finish'

How to select the next available volunteer:

When scheduling a new ILA or Mediation appointment, view the available appointment times for the next three lawyers in the queue. If none of the available times are suitable for the client, select SKIP to view the availability for the next lawyers in the queue:


How to exclude a volunteer from your appointment scheduling search: 

When searching for appointment times for a client, the next available lawyer may not be suitable for this case. For example, if the volunteer offers both ILA and Mediation appointments, and has already been booked for one type with the client, you can remove them from your search when creating the next case:
